Management Information Systems Committee

The MIS Committee meeting was called to order at 5:00 p.m., Wednesday, June 14, 2006 by Secretary Huffaker.

Members present: Gaalswyk, Huffaker, and Sinklair

Others Present: S. Pate

Motion to adopt agenda by Gaalswyk, seconded by Sinklair. Agreed on by committee. Motion carried.

Motion to adopt last month's minutes by Sinklair, seconded by Gaalswyk. Agreed on by committee. Motion carried.

Communications - None by Pate. Sinklair questioned the minutes posting process. He explained that there is still a lull between meetings and draft minutes posting. Also, he commented on agendas not getting posted in a timely manner. Discussion followed.

Consideration of Resolution to Purchase Large Format Scanner - Pate handed out Resolution. Explained the need for new scanner that both the Register of Deeds and Mapping Depts. could use. Master Graphics came up with the quote of $29,000 which is the preferred bid. Money for the scanner will come from Land Records Fund and the purchase will not impact the tax levy. Motion to approve the resolution by Gaalswyk, seconded by Sinklair. Agreed on by committee. Motion carried.

Consideration of Resolution for WIJIS Project - Pate explained the participants in this project have changed. Instead of Columbia County, Juneau County will join Sauk County and Sauk Prairie. This resolution is to accept the state grant for this project. Motion to approve the resolution by Sinklair, seconded by Gaalswyk. Agreed on by committee. Motion carried.

Authorization for MIS Staff member to attend MUNIS Conference in Chicago. Pate explained the advantages to sending Montgomery to this conference to be held in Chicago this fall. Cost for conference is estimated at $1379.00. Sinklair asked about the usability of MUNIS. Pate responded that it is a solid application for the County's needs. Motion to send MIS staff member to MUNIS conference by Gaalswyk, seconded by Sinklair.

MIS Dept. Update -

• Committee Budget Report - on track with budget
• KRONOS Project Planning -. Scheduled to go live with KRONOS Sept. 25. There will be a testing period set up first.
• MELYX - no changes needed at this time. The issues with software don't prevent jobs from getting done.
• Budget Questionnaire has been sent out to all depts.
• Mtgs. & Agendas Database - still being tested
• Lotus Notes upgrade - almost complete
• User Feedback System in process
• Disaster Recovery Documentation - being complied
• Data Center Move - new equipment is being put in center as soon as it comes in, old Data Center contents slowly being moved over
• Training rm. Setup - on hold
  
  

  Review of MIS monthly invoices -. Motion to approve vouchers by Sinklair, seconded by Gaalswyk. Agreed on by committee. Motion carried.
