January 31, 2017
Board Members present: Judy Ashford, Peggy Heidenreich, Pat Andreesen, Barbara Morford, Terrance Slack, and David Wernecke
Librarians present: Nicholas Studnicka, Raina Roloff, Jean Berlin, Pam Thompson, Cathy Borck, Jennifer Endres Way, Sue Ann Kucher, Jo Clark, Meg Allen and Carrie Portz
Judy Ashford called the meeting to order and verified compliance with the open meetings law at 9 a.m.
Andreesen moved and Morford seconded a motion to adopt the agenda. Passed unanimously
Wernecke moved and Andresen seconded a motion to approve the minutes. Passed unanimously
Election of Officers: Wernecke moved and Morford seconded a motion to maintain the same officers, Ashford as chair, Meise as vice chair and Heidenreich as secretary. Passed unanimously
The Board reviewed the annual calendar of tasks
The Board reviewed the Library Service Plan 2016-2020. Discussion concerned updating the plan, minimum library hours. At the next meeting changes will be made.
The Board reviewed the County Library Board Bylaws. Board member terms were discussed.
Martha Van Pelt, SCLS Director sent her report. She had visited several of the Sauk County libraries in the past week. Report: New director a Spring Green Library is Carrie Portz, former director in Barneveld. The Charles and JoAnn Lester Library of Nekoosa went live on LINKCat On January 3, 2017. Libraries competed the annual Koha evaluation survey. The results indicate that SCLS will continue on Koha for another year. In 2017 there will be an intensive upgrade of the software. Arrowhead Library System is considering a proposal for merging LINKCat with the 7 Rock County libraries.
SCLS hired Jody Hoesly as the new SCLS Data Services Consultant to help members explore and present data to tell their libraries’ stories. SCLS will begin interviewing a Digitization Specialist as part of a LSTA grant. SCLS staff are reviewing members’ 2016 annual reports.
Librarians’ reports:
Plain- Nicholas Studnicka reported: Interviewed and hired a new part-time youth services librarian, she will start on Feb. 20th. We offered The Senior Movie and Lunch program on Jan 19, and it was attended by 22 seniors and comments were positive overall. Completed the Annual Report which was approved by the Library Board. I will be going on vacation for two weeks starting Feb. 5-Feb. 17. The library also purchased a new large copy machine for the library. The library building was entirely rekeyed due to the lack of records of who had keys and how many were produced.Planning on the next Senior Movie and Meal February 23 will be looking at having the restaurant in Plain cater the meal. Also looking at potentially having outdoor movies at the Park during the summer.This past year the library purchased two new PCs along with part of a copy machine with the Sauk County Tech funds.
Prairie du Sac – Jennifer Endres Way reported: * This Tree is for Me! (Mural Dedication) Tuesday, 1/31 at 4 pm – This is the dedication of a tree mural recently added to our Children’s area. * Beaded Necklaces for Adults, Tuesday, February 21, 2017 - 6:00pm
* Teen Tuesday events – Tuesday, February 7 Candy Barks and Tuesday, February 14: Buttons and Shrinks: Draw your own designs on special plastic and watch them shrink down to be made into key chains or charms AND design your own buttons using the library's button makers!
* Anything Can Talk, Saturday, February 25, 2017 - 10:00am - Comedy Ventriloquist David Pendleton provides some belly-aching comedy, along with an introduction to variety arts, specifically ventriloquism. He will introduce his audience to four lovable and engaging characters, Mack, Buford, Aunt Tilly, and Vern, and provide instruction on the how-to’s of ventriloquism. Recommended for ages 4-10. This outreach opportunity is sponsored by River Arts Inc. and made possible by the Arts Midwest Touring Fund.
* Team Trivia Challenged hosted by the Friends of the Ruth Culver Community Library, Saturday, April 22, 2017 beginning at 6 PM. Featuring team trivia, pie auction, silent auction, 50/50 raffle, concessions, prizes and a table decoration contest.
* Friends of the Library Spring Book Sale, Friday, May 19 & Saturday, May 20
Sauk County Tech funds were used to purchase a photo scanner and a cameo silhouette machine for crafters.
Rock Springs- Rock Springs Library has done many updates in the last few months. During the September flood in Rock Springs the Library took advantage of a bad situation and when moving books back to the library we switched around the flow of the library. We are currently updating our historical committee policies, updating or by-laws and or library/ collection management policy. On Thursday February 2nd we will be installing our new computers that we ordered in 2016 from our Tech funds.

North Freedom- Raina Roloff reported on their successful paint night, their program to sort local history files, and the donation of 2 sewing machines for programs. Their tech funds were used to purchase databases, pc, receipt printer, Osmo software, etc.
LaValle – Pam Thompson reported on soring their local history files, changes to 20 hours per week for her position, local volunteers working on oral histories, and a stargazing program. Tech funds were used to purchase a patron pc, a video camera, and copier/scanner/printer.
Wisconsin Dells – Cathy Borck reported: Two new employees were hired in September.
In November the library held its annual inventory. The library is closed for a week while staff and volunteers inventory the entire collection. In addition, during that week we hold our annual volunteer luncheon.
Our book club participated in the Go Big Read book discussion again. Two students from the UW Madison School of Library Science facilitated the discussion. The book this year was “Evicted” by Matthew Desmond.
In December we had a several holiday themed programs. *Ornament making *Family holiday sing-a-long and card making *Make & Take crafts and holiday movies for early release day and during break *Senior holiday get together with sing-a-long, crafts and cookie decorating *New Year’s Eve party with games & crafts plus a ball drop and balloon drop at “12” noon
Every year we do a holiday book drive in conjunction with the Wisconsin Dells Literacy council and this year we also partnered with the Kiwanis Club. Books were distributed at the local food pantry.
We held a Quilting for Kids event. A local quilter donated the materials and facilitated the event. The kids made a quilt that will now hang on our program room wall.
Saturday was our annual open house. We had close to 250 people attend. David Landau performed at 10:00 a.m. and the open house followed until 1:00. There was a dinosaur exhibit, photo booth, children and adult creation stations, information stations featuring our book club and a new knitting & crocheting group. A local photographer has his photos on our local art wall and he was there to talk about his photography. Staff gave presentations about our language learning database Transparent Language and our digital archive of our local newspaper dating back to the 1800’s. We also had a library scavenger hunt. The Friends of the Library provided and served a free lunch.
Coming in February we will have Valentine themed story hours and programming.
We are also having a yahtzee tournament at the Lake Delton Senior Center.
Reedsburg – Sue Ann Kucher reported on the lease of the building next to the library, staff inservice training and expansion of the summer library programs in Loganville. The Friends provided a new a/v system and updated speakers. New programs include adults at play and a sip and swipe café using ipads donated by the city council. Tech funds were used for additional laptops and papercut printing.
Baraboo – Meg Allen reported: * The Upgrade Review Committee presented their recommendations and final report at the January Library Board meeting. The Board will take up the discussion of next steps in February.
* Bids for the refresh of the reading rooms (carpet, paint, additional power outlets, new study tables and chairs, and new lounge chairs) are due on Friday, February 3.
* Have a new logo and re-designed website scheduled to go live by the end of February
* Working on a needs assessment for a small business support service project; this was an idea brought to the library by the foundation arm of the Nordic Group
* Part of a group of stakeholders that includes the City of Baraboo, Madison College and members of the Hispanic community looking at how to address workforce development needs. First meeting was held January 30.
* Planning programming around our new technology equipment – a 3D printer, a laptop lab, and a digital story time kit that includes a 75” TV and a set of iPads; also installing a new sound system that was made possible by a grant of trust funds by the Library Board and part of our 2016 Sauk County technology funds.
* Friends of the Library are sponsoring their annual concert series - Music With Friends with two additions:
o A Saturday morning concert for families on March 4 at 10am – Ken Lonquist
o An April concert featuring the state-bound high school solo and ensemble students
* Other adults programs to note
o 2 monthly book discussion groups – Lit Wits and Readers Anonymous
o Seed Library, in its fourth year, is kicking off with a screening of the documentary, “The Seed Swap.”
o New monthly Fireside Story Times for Adults
o Podcasting for Everyone
* Youth programs rolling on their regular winter schedule
Spring Green – Carrie Portz introduced herself as the new director at Spring Green starting tomorrow.
Next Meeting date set for Monday, May 8 at 9 a.m. at the Wisconsin Dells Library

Recent Programs:
New Tech Help-We helped patrons learn how to use their new and old devices over a two-day period. Most of the questions involved very basic device help and help with Overdrive.
Craft Supplies Exchange-Our first craft supplies exchange had a good turnout.
Kids Paint Night-We had a very successful Kids paint night in two sessions during a recent day off school. We required preregistration, allowing 30 children per session. The sessions both filled quickly and unfortunately we had to tell dozens more that it was full.
Our pilot bingo program went so well that we’ve decided to have it every week on Thursdays at 2 pm. A wide variety of age groups from homeschooled children to the elderly have been attending.

Activities:
Several projects to improve the look of the library downstairs--carpeting, new accessible door, painting-- have been completed.
Our microfilm reader, the Viewscan III has been installed and is working well.
The Sauk Prairie Eagle reported on the joint strategic planning process that we’re doing with the Ruth Culver Library.
Sauk County Technology Funds:
2016: The funds were used for digital collections.
2017: We plan to add four hotspots. The initial units and service on the hotspots for the year will total about $2000. The remaining funds would be reserved for possible replacement of a unit ($175).
